What we collect and why
We only collect what we need to answer you, run your sessions and get paid. Here's the full list.
| When | What | Why, and our lawful basis |
|---|---|---|
| You send an enquiry or use a contact form | Name, email, show name, your message, and anything you choose to add (like your stage, launch date, checklist progress or what you need help with) | To reply and give you a quote. Legitimate interests, or steps before a contract at your request. |
| You book the studio | Name, email, podcast name, number of guests, notes, date and time, set, extras, any discount or guest code, booking status | To run your booking. Contract. |
| You pay | Payment status and amount. Card details go straight to Stripe and we never see them in full. | To take payment and keep accounts. Contract and legal obligation (tax records). |
| You record with us | Audio, video and photos of you and your guests made during your session | To produce and deliver your content. Contract. We'll ask before using any of it in our own marketing. |
| You unlock our free guides | Email address, and whether you ticked the box for tips and news | To give you the guides. We only send marketing if you ticked the box. Consent, which you can withdraw any time. |
| You message us on WhatsApp or by email | Your number or email and your messages | To reply. Legitimate interests. |
| You visit the site | Basic technical data such as IP address, browser and pages requested, kept in our host's server logs | To keep the site secure and working. Legitimate interests. |
| You use the launch checklist and planner | Your ticks, stage, launch date and show name | These stay on your device (only if you allow it) or inside your own mission link. We don't receive them unless you send them to us in an enquiry. |
We don't use advertising trackers or analytics cookies, and we never sell your data.
Our legitimate interests
Where we rely on legitimate interests, those interests are replying to people who contact us, running and improving the studio, and keeping our website and systems secure. We only do this where it doesn't override your rights, and you can object at any time.
Do you have to give us your details?
You don't have to give us anything to browse the site or use the launch guide. To book the studio we need your name, email and show name, because we can't take or confirm a booking without them. Marketing is always optional.
We don't make any decisions about you using automated processing or profiling.
Data outside the UK
Some of these services are based in, or store data in, the US or the EU. Where that happens, your information is protected by UK adequacy regulations (including the UK Extension to the EU-US Data Privacy Framework) or by approved contract terms such as the UK International Data Transfer Addendum.
How long we keep it
- Enquiries that don't turn into a booking: 24 months after we last spoke.
- Booking and payment records: 6 years, because tax law requires it.
- Recordings and project files: kept for a limited time after delivery so we can help with changes, unless you ask us to delete them sooner.
- Mailing list: until you unsubscribe.
- Server logs: kept by our host for a short period for security.
Your rights
You can ask us to:
- give you a copy of the information we hold about you
- correct anything that's wrong
- delete it
- stop or limit how we use it, or object to it
- send it to you or another company in a usable format
- stop marketing, any time (every email has an unsubscribe link too)
- withdraw any consent you've given, such as for marketing or optional cookies, without affecting anything we did before
Just email contact@theclubmcr.com. It's free and we'll reply within one month. If you're not happy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We'd appreciate the chance to put it right first.
Keeping it safe
We use reputable providers, secure connections (HTTPS) and limited access, so only the people who need your information can see it.
